How response time shows up in your numbers

Homeowners planning a large project often contact several contractors in one sitting. Industry surveys of home improvement buyers have reported this for years, and most owners we talk to assume it about their own leads too. When several companies are in play, answering early and sounding organized tends to help.

Estimating the cost for your shop

Take a month you remember well and run rough figures.

  • Inbound leads that month
  • Jobs you closed from them
  • Leads that never got a real callback within a day

Multiply the third number by your usual close rate, then by your average contract value. That result is an estimate, not a measurement, and it will still be more informative than nothing. Most books never show slow follow up as a loss, which is part of why it survives so long.

What the software does about the first few hours

Acknowledgment on save. The default New Lead rule sends the client an acknowledgment email as soon as the intake record is saved. It is a stage rule you can edit or disable, not a hard-coded behavior.

A qualifying call task with a clock on it. The same stage creates a call task for the office, offset a couple of hours out, so the callback is a piece of assigned work rather than a memory.

Instant Response drafts. For inbound texts and missed calls, the system drafts a reply and holds it for approval. Auto send is a per-rule switch that is off until you turn it on, so nothing goes out under your name unread by default.

Follow-ups list. Open tasks and aging leads collect on one screen with their age showing, so anything untouched is visible instead of buried in a pipeline column.

Two things to track starting Monday

  • Time from the inquiry arriving to the first real conversation with a person
  • Share of leads that end the day with a scheduled next step

Those two are enough to act on. Adding more measures early usually just delays the first change.

Check your own timestamps

Pull ten recent leads and read the created times against the first task completed on each. Offices are often surprised by afternoon and evening inquiries in particular, since those can sit overnight without anyone noticing a pattern.
